Documention Manager – Americas

As the Manager of the Documentation Team for the Americas, you’ll begin each day by connecting with your team and multi-functional partners to align on priorities and ongoing project needs. Your role is dynamic and hands-on, involving the coordination and oversight of documentation workstreams, setting clear priorities, diving into technical project details, and collaboratively developing solutions with your team.

You’ll be responsible for running and maintaining project budgets, ensuring financial targets are met while delivering high-quality results. In addition to being responsible for documentation for auxiliary systems in large rotating equipment projects, you’ll engage closely with global collaborators to drive customer satisfaction and continuous improvement.

You’ll provide guidance, motivation, and professional development opportunities to your team, ensuring all customer-facing documentation meets the highest standards of accuracy and governance.

Key Responsibilities:

  • Coordinate daily priorities and ensure alignment with project goals
  • Collaborate with global teams and partners to ensure a detailed documentation processes
  • Uphold documentation quality and compliance standards for all customers work you're doing
  • Drive team development and promote excellence and accountability

How You’ll Make an Impact

  • Lead, mentor, empower and develop a team of approximately 10 internal and external of document controllers with effective teamwork and communication.
  • Oversee the auxiliaries engineering documents for gas and steam turbine auxiliary projects from feasibility to completion, ensuring alignment to timelines and quality standards with close alignment with customers e.g. Project Management and other engineering departments.
  • Lead and allocate resources optimally to ensure that all projects have the vital support and personnel.
  • Serve as the primary point of contact for partners, ensuring their needs and expectations are met.
  • Work closely with local and global multi-functional teams related to new process developments, tools implementation, cost-out, and collaboration planning.
  • Provide coaching and mentorship to team members, fostering their personal and professional growth and skill development.
  • Find opportunities for process improvements, implement standard methodologies, and promote a culture of continuous learning and development within the team.
  • Provide project support through tasks such as status reporting, document verification, stamping, creating cover sheets, adding customer data to documents, aligning metadata, and registering and uploading files into the Document Management System in compliance with the scheduling of contractual requirements.

What You Bring

  • Background in mechanical and/or electrical engineering, computer science or a comparable field, with minimum of bachelor’s degree, preferably an advanced degree in Engineering.
  • 8+ years of experience in documentation control, project management, engineering or a similar field. Previous leadership experience is a plus.
  • Solid understanding of gas turbine and steam turbine auxiliary design, and project execution.
  • Proven track record to lead and inspire a team, with excellent interpersonal and communication skills.
  • Proven experience in leading complex engineering projects, with a track record of delivering on time and within budget.
  • Strong analytical and problem-solving skills, with the ability to make data-driven decisions.
  • Ability to work optimally in a multidisciplinary and diverse team environment and build strong relationships with team members.

About the Team

The Documentation Americas team includes Project Administrators and Project Control Technicians. We collaborate with Engineering, Project Management, Procurement, customers and external suppliers to make sure all documentation going to and from the customer aligns to all Contractual Requirements.

This includes aligning requirements such as: Contract, 3rd Party, Site Specific, Project Specific as well as insuring Supplier documents meet the required standards prior to the document being sent to the customer.
