As a Team Assistant, your day will be dynamic and engaging, filled with opportunities to support the heads of the department and ensure smooth operations. You will coordinate meetings, prepare agendas, and take notes, while also managing calendars and acting as the first point of contact for the team. Your role will involve organizing travel and events, amending contracts with suppliers, and continually seeking ways to enhance team efficiency, all within a collaborative and supportive team culture that values initiative and improvement.
How You’ll Make an Impact
- Coordinate and prepare agendas, notes, and minutes for departmental meetings, ensuring effective communication among team members.
- Organize events and travel arrangements for department employees, facilitating smooth logistics and participation.
- Manage contracts with suppliers, including amendments and negotiations to ensure favorable terms.
- Oversee day-to-day operations of the team, ensuring all processes run smoothly and efficiently.
- Act as the first point of contact for the team, managing calendars and emails for department heads and coordinating team schedules.
- Undertake ad hoc administrative tasks, such as expense reconciliation, raising purchase orders, and seeking opportunities to improve systems and procedures for enhanced team efficiency.
What You Bring
- Bachelor’s degree or equivalent experience with international exposure.
- Fluency in English is a must.
- Minimum 5 years of experience in an Executive Assistant position. Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Solid command of Microsoft Office.
- SAP knowledge is a plus.
- Should be able to work flexible hours as the role involves coordination across multiple time zones.
