A Snapshot of Your Day 

As PMO-Support your responsibilities will include planning and organizing business trips, preparing meeting briefing documents as well as action item tracking, and facilitating management workshops and meetings. You will ensure that all aspects of meetings and events run smoothly, allowing the leadership team to focus on strategic initiatives. In this role you will be working closely in a team with the Chief of Staff and the Executive Assistant of the Executive Vice President.

How You’ll Make an Impact 
  • Assist in the comprehensive planning of business trips of the Executive Vice President, including organizing logistics, preparing briefings, creating agendas and taking care of post-travel documentation (incl. expenses) to ensure seamless communication and effective follow-ups
  • Consolidate special briefings and prepare meeting documents and agendas for core management meetings and workshops, ensuring all necessary information is accurately captured, presented, and followed-up
  • Manage logistics for meetings and workshops, coordinating hotel and restaurant arrangements while facilitating a positive overall experience for attendees.
  • Track actions and consolidate information for business review and management meetings, ensuring all slides and materials are ready in time.
  • Take on additional administrative tasks and special requests as needed, demonstrating flexibility and commitment to effectively supporting the EVP and the management team.
What You Bring
  • Completed commercial vocational training or a Bachelor’s degree with a business focus, along with professional experience as an Executive Assistant (f/m/d), preferably at upper management level in a large company or a comparable environment.
  • Excellent MS Office skills (Teams, Outlook, Word, Excel, PowerPoint) and experience with relevant administrative tools.
  • Ability to think quickly and adapt flexibly in a dynamic environment.
  • Strong organizational skills and the ability to manage multiple priorities simultaneously.
  • Very good written and spoken German and English skills.
  • Willingness for business trips within Germany as required as well as intercultural experience is a plus to navigate successfully in an international environment
