A Snapshot of Your Day

The Administrative Assistant – Finance & Operations Support is responsible for providing comprehensive administrative, financial, and operational support to business units and project teams, ensuring efficient office operations, accurate financial administration, and effective communication between internal and external stakeholders.

This role supports day-to-day administrative activities, financial tracking, budget control, invoice processing, and reporting, while serving as a key point of coordination across departments. The position requires a high level of organization, confidentiality, attention to detail, and the ability to operate in a bilingual (English–Spanish) professional environment.

How You’ll Make an Impact

  • Provide administrative support to management and project teams, including calendar management, meeting coordination, document control, and correspondence handling in both English and Spanish.
    • Support financial administration activities such as invoice processing, expense tracking, purchase orders, budget monitoring, and financial reporting.
    • Coordinate with Finance, Accounting, Procurement, and external vendors to ensure timely payments, accurate records, and compliance with internal processes and policies.
    • Prepare and maintain financial and administrative documentation, ensuring accuracy, traceability, and confidentiality of sensitive information.
    • Support monthly and quarterly financial close activities by compiling reports, tracking expenditures, and assisting with reconciliations.
    • Assist in drafting presentations, reports, and communications for management, customers, and internal stakeholders in a bilingual environment.
    • Monitor schedules, deadlines, and action items, contributing to smooth operational execution and alignment across teams.
    • Identify process improvement opportunities in administrative and financial workflows to increase efficiency and accuracy.

What You Bring

  • Administrative Assistant with a technical degree or bachelor’s degree in Business Administration, Accounting, Finance, or a related field, and a minimum of 3–5 years of experience supporting administrative and financial operations in corporate or project-based environments.
  • Solid experience in administrative support functions, with a strong focus on financial administration, budgeting, invoicing, and expense control.
    Strong understanding of basic accounting principles, financial documentation, and internal control processes.
    • Proficiency in Microsoft Office tools (Excel, Word, PowerPoint, Outlook), with strong Excel skills for tracking, reporting, and data analysis.
    • High attention to detail, organizational skills, and ability to handle confidential information with discretion.
    • Strong communication skills and customer-oriented mindset.
    • Fluent bilingual proficiency in English and Spanish (spoken and written) for daily coordination, reporting, and professional communication.
    • Proactive, reliable, and service-oriented attitude, with the ability to work in multicultural and cross-functional environments.

About the Team

You will be part of the Siemens BSS Energy Real Estate, working closely with Project Management, EHS and Construction teams to ensure the successful and safe execution of industrial projects. You will report directly to the Project Manager and collaborate with global and local stakeholders and sustainable performance across all project operations.

The Administrative Assistant – Finance & Operations Support will work closely with Finance, Project Management, Procurement, and operational teams, providing critical administrative and financial support to ensure efficient day-to-day operations and project execution.

The role collaborates with local and global stakeholders, supporting accurate financial management, effective communication, and smooth coordination across departments.
