A Snapshot of Your Day
Provide clerical and administrative support to the Managing Director (Calendar management, Travel & Expense Management, Team organization & Events).
How You’ll Make an Impact
- Perform general duties to include but not limited to: organizing and coordinating meetings and other events, organizing and optimizing calendars, , mailing and filing;
- Coordination of Competence Hub organizational events (offsite, trainings, stakeholders meetings, corporate events, University / Job fairs etc);
- Office management: communication, documentation, office organization, visitor support
- Planning, booking and accounting for local and international travel;
- Complete timesheets and expense claims on behalf of the Department Heads;
- Interface between Department Heads and Organization;
- Contribution to the administration of office facilities.
- Procuring, preparing and documenting relevant information of the administrative process.
- Ensure protocol, office supplies and other Department administrative topics;
What You Bring
- Required: minimum 3 years of professional experience as an assistant or in another comparable position.
- Experience of working in a multi-cultural environment is a requirement, also to adapt and overcome cultural differences in a professional manner.
- Personal interest in permanent improvement of administrative and personal skills.
- Adequate experience in various functions as executive team assistant.
- Suitability for working in open-plan offices.
- Familiarity, proficiency and confidence with MS 365 Applications (Office and Outlook), software and the use of networked PCs are needed.
- Able to deal with customers, colleagues and suppliers in a polite and professional manner.
- Prepared to work as part of a team, keen to make internal and external contacts, learn and be able to operate company procedures with minimal assistance (once established)
- Ability to adapt to new situations and deliver professional support to other functions in the team.
- Highly resourceful team-player, with the ability to also be extremely effective independently
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
- Proficiency level of Romanian and English. German is a plus.
