Snapshot of the Day:

As Administrative Assistant, you’ll support the smooth day-to-day running of the site by managing SAP orders and invoices, coordinating local purchasing, and working with service providers. You’ll partner with the Commercial Site Manager on documentation and cost tracking, keep internal information up to date, and help ensure smooth onboarding, offboarding, and small site events.

How You'll Make An Impact

  • Handling and administration of Local Purchasing in cooperation with Procurement Department.
  • Controlling work records, orders and invoices in SAP. Coordination and supervision of suppliers for site infrastructure (cleaning, waste disposal, IT, scrap material, etc.)
  • Maintaining Site Office and other buildings of site infrastructure and managing of site fleet (transport concept).
  • Cost collection for insurance damages and support PM in execution of insurance claims and support for cost accounting for site scope and the associated cost controlling.
  • Support (Documentation) to contract management. General support for Commercial Site Manager.
  • Independently and reliably completing versatile organizational and administrative tasks within the SESM Office. Maintain and update internal databases, distribution lists, and organizational charts, and support onboarding and offboarding of employees and contractors. Plan and organize events.


What You Bring

  • At least 3 years working experience in Business administration function (Commercial Project/Sales/Bid/ Site Management or Controlling). Work experience on site is an advantage.
  • Commercial apprenticeship or study. 
  • Working experience in an international environment would be an advantage.
  • Native Polish speaker, very good English language skills (C1-level), German language skills are an advantage.
  • Strong willingness to work at Site. Strong mindset to work and collaborate with Site Staff from several countries.
  • Demonstrate proficiency in MS Office 365 and maintain a proactive approach to learning new digital tools relevant to the position.
  • Open mindset, hands-on mentality, resilience and self-driven. Good communication skills. Very good team-player
