A Snapshot of Your Day 

As the team’s first point of contact for organizational and administrative matters, you play a key role in keeping daily operations running smoothly. Your day is shaped by a broad range of responsibilities in a global team, from handling travel and expense accounting, processing orders, and verifying invoices, to supporting events and coordinating the onboarding of new colleagues.

You work closely with the Head of TI CM, the team members and stakeholders, providing dependable support and ensuring that tasks are handled efficiently and accurately. No two days are the same: priorities may shift, new requests arise, and unexpected topics come your way. This variety makes the role both dynamic and engaging, and offers continuous opportunities to learn, adapt, and contribute to the team’s overall effectiveness.


How You’ll Make an Impact

  • Manage internal IT processes and SharePoint sites for the department. Manage personnel and user authorization processes, including absence management, badge orders, etc.
  • Coordinate calendars, schedule meetings, organize appointments, workshops, and provide event/meeting support. Assist with managing distribution lists.
  • Plan and book travel arrangements for Head of TI CM, including flights, accommodation, ground transportation, and support with expense reports.
  • Support the budget process, including handling purchase orders for the team and monitoring and verifying incoming invoices, and track payments.
  • Support onboarding for new employees.
  • Support key projects with your organizational and administrative talent.

What You’ll Bring

  • Completed professional commercial training, providing a solid foundation for administrative and secretarial functions.
  • Several years of experience in personal and team assistance roles, including purchase orders, internal event support, SharePoint administration, and HR tools for attendance and absence management.
  • A strong service mindset, with the ability to anticipate needs, respond proactively, and ensure reliable support for team members and stakeholders at all levels.
  • Creativity and openness to new ways of working, with a willingness to improve processes, suggest smarter approaches, and contribute to more efficient and modern collaboration methods.
  • Knowledgeable in IT administration, asset management/controlling, and managing large distribution lists (100+ users), with an interest in digital tools, automation, and efficient ways of working.
  • Clear communication and interpersonal skills, enabling professional interaction with colleagues and management at all levels.
  • Solid proficiency in MS Office (Outlook, Word, PowerPoint) to create documents efficiently and support team communication.
  • Fluent in English (written and spoken) with intercultural experience, flexibility, and a results-oriented, highly organized approach to teamwork and responsibilities.
