A Snapshot of Your Day
Provide high‑level executive and operational support to the Onshore Head of Finance and Head of Operations. You will act as a trusted partner to senior leadership, ensuring seamless coordination of priorities, communications, and initiatives across the North America organization. This role requires exceptional discretion, organization, and the ability to anticipate needs while operating in a fast‑paced environment. You will manage calendars, meetings, travel, communications, and key initiatives while supporting leadership effectiveness and employee engagement. Maintaining organization, professionalism, and a high standard of execution is essential in this role.
How You’ll Make an Impact
- Serve as the primary administrative partner to senior leaders, ensuring their day‑to‑day effectiveness and readiness.
- Coordinate and manage complex schedules, leadership meetings, and executive communications with precision.
- Plan and execute leadership meetings, town halls, and organizational events aligned with NA Operations strategy.
- Prepare high‑quality reports, presentations, executive briefings, and decision materials.
- Monitor and manage information flow, maintaining organized digital and physical filing systems.
- Develop and maintain SharePoint sites, ensuring accuracy, usability, and alignment with leadership messaging.
- Track, analyze, and summarize operational and strategic data to support informed decision‑making.
- Coordinate domestic travel arrangements and manage expense reporting and correspondence.
- Support and execute employee engagement initiatives and office‑based programs for Orlando employees.
- Drive continuous improvement in executive support processes and digital collaboration practices.
- Maintain strict confidentiality when handling sensitive and proprietary information.
What You Bring
- 5–8+ years of executive assistant or senior administrative experience supporting senior leaders.
- Proven ability to operate in a fast‑paced, complex, and highly confidential environment.
- Exceptional written and verbal communication skills with a polished and professional presence.
- Advanced proficiency in Microsoft Office 365 (Outlook, Excel, PowerPoint, SharePoint) and collaboration tools.
- Strong organizational, analytical, and time‑management skills with high attention to detail.
- Ability to work independently, anticipate needs, and manage multiple competing priorities.
- Experience supporting leadership initiatives, events, and employee engagement programs.
- Strong stakeholder management and collaborative mindset.
- Willingness to travel up to 10% as needed.
- Legally authorized to work in the United States without current or future employer‑sponsored work authorization.
