A Snapshot of Your Day
This role is being added for business continuity, establishing a dedicated administrative and documentation support function for the Americas Project Management (PM AM) team. The position aims to provide consistent, focused support for the distributed team, enhance operational efficiency and reducing reliance on shared central resources. To achieve this, the role is structured around two core responsibilities: Project Administration Support and Customer & Project Documentation Management. These areas encompass a range of activities from daily administrative tasks and report generation to the systematic control and handling of critical project and customer-facing documents, ensuring the smooth operation of the project management function. Given the focus on providing autonomous support, the ideal candidate will possess advanced knowledge of administrative procedures and document management systems, gained through extensive work experience. The ability to manage non-routine situations with limited supervision, coupled with experience in a project-driven environment, will be critical for success in this Specialist Para-Professional role.
How You’ll Make an Impact
- Manage the complete lifecycle of project documentation, including storage, indexing, retrieval, and version control using designated document management systems.
- Prepare, format, proofread, and distribute official customer-facing documents, letters, and correspondence, ensuring accuracy and adherence to company standards.
- Oversee the document control process for the PM AM team, ensuring all project files are correctly updated, tracked, and shared with stakeholders.
- Maintain the integrity of the document repository, including the conversion of physical documents to electronic formats as required. Provide comprehensive administrative support to the Project Management Americas team, including handling correspondence, scheduling, and coordinating team activities.
- Assist with project-related financial administration, such as processing invoices and preparing data for expense reports using systems like SAP.
- Prepare and compile routine reports, presentations, and meeting minutes for project status updates.
- Coordinate and manage travel arrangements and logistics for project team members as needed.
- Act as the primary point of contact for the distributed team's administrative and documentation needs, independently troubleshooting and resolving non-routine issues.
- Identify and suggest improvements to administrative and document management workflows to increase team efficiency.
What You Bring
- Associate's degree, vocational training in business administration, or equivalent extensive work experience.
- Requires advanced knowledge and significant experience (typically 5+ years) in a senior administrative support or document control role.
- Experience working within a project-based or technical team environment is strongly preferred.
- Experience in SAP, Concur and Workday required.
- Applicants must be legally authorized for employment in the United States without need for current or future employer-sponsored work authorization. Siemens Energy employees with current visa sponsorship may be eligible for internal transfers.
