A Snapshot of Your Day

The Team Assistant (Administrative) serves as a key support figure to organize office administration in support of an assigned professional or manager team within the business, handling a variety of administrative tasks to ensure the smooth functioning of daily operations. This role requires exceptional organizational skills, discretion, and the ability to handle sensitive information with confidentiality. The ideal candidate will also demonstrate flexibility and adaptability to take on diverse responsibilities, including hiring coordination and familiarity with Field Glass.

How You’ll Make an Impact

  • Calendar Management - Efficiently schedule meetings, appointments, and travel while prioritizing conflicting demands.
  • Communication - Serve as the main contact for stakeholders, managing emails, calls, and inquiries on behalf of the team.
  • Meeting Coordination - Organize meetings by preparing agendas, taking minutes, and following up on action items.
  • Travel Arrangements - Plan complex travel itineraries, optimizing for cost and efficiency.
  • Confidentiality and expense Management - Handle sensitive information discreetly and track expenses to ensure compliance with company policies.
  • Hiring Coordination: Support the business and talent acquisition throughout hiring processes.

What You Bring

  • Bachelor's degree preferred in business administration or a related field.
  • 2+ years of experience as an Administrative Assistant or similar role, ideally supporting department-level managers.
  • Exceptional communication and interpersonal skills for effective interaction at all levels.
  • Strong organizational, time-management, and attention to detail abilities.
  • Proficiency in MS Office suite; familiarity with Field Glass and hiring coordination is a plus.
  • Ability to multitask, prioritize in a fast-paced environment, and handle confidential information with discretion.
