How You Will Make an Impact
- For this role you will maintain optimum interaction with Service Operations Head, FS Operations Managers, Planning Manager, Site leaders, Project Managers and Service Engineering department- in addition to customer representatives - Ensuring that all project related activities are planned and driven in accordance with Siemens Energy Quality and EHS standard procedures and the relevant project documentation.
- Arrange Travel for all FS resources to Siemens-Energy customer power plants throughout KSA and abroad to perform maintenance, repair, and modifications of large steam and gas turbine generators and related equipment.
- Managing and Clearing expenses of mechanical/electrical maintenance crews ranging in size from 150-180 HC.
- Follow up on the Onboarding and offboarding of resource Delegation for onshore and offshore SE resources for international assignments and use BeReady and BTAT and follow up to issue PATAC.
- Coordinate HR-related requests including the CARL & AskHR and report work injuries and arrange employees’ training and development process.
- Arrange the team meetings and workshops for the Service operation department & PM Team.
- Handling Service operation department yearly vacation plan of (Central) employees.
- Support in Issuance and extension of 3rd Party Resources services agreements with 3rd Party resource request to support SE Projects and attestation from Ajeer portal.
- Be part of the Emergency Preparedness Arrangements on behalf of the Service Operation Team in alignment with location EHS and support the Zero Harm Implementations and to arrange the Field Service PPE’s
1. Facilities Management:
- Manage and coordinate all facilities and services-related activities.
- Ensure all facilities are operating efficiently and provide technical support when needed.
- Connect with suppliers and contractors to ensure high-quality service delivery.
2. SAP System Application:
- Apply SAP System to issue Purchase Orders for facilities and projects.
- Follow up with all contractors to ensure timely and accurate delivery of services.
3. Resource Management:
- Support in resource mobilization and demobilization for assigned project sites.
4. Administrative Support:
- Lead the IOU Closure Process, including developing calculation sheets and submitting related documentation.
- Support employees with the Expense Claim Process (E2E).
- Support in arranging meetings and workshops via F2F and MS Teams.
5. Project Management Support:
- Assist Managers with Purchase Order (PO) amendments through Eform.
- Provide back-office administrative support to Managers.
6. Field Service and Training:
- Handle Skill Certification and ID gate pass processes for field service and projects.
- Prioritize and run training arrangements.
7. Project Execution:
- Support in organizing and execution of projects efficiently.
- Communicate with multiple teams to ensure successful project execution.
- Provide regular reports on project progress and potential challenges.
8. Time Sheet Management:
- Support in time sheet submission and approval process.
- Ensure accurate recording of work hours for all employees.
- Address any discrepancies or issues related to time sheet entries.
What You Bring
- Expert knowledge using Excel.
- Familiar with Concur, E2E Tools.
- Good Communication & Documentation skills proficiency in English & Arabic.
- Bachelor’s degree in any stream with 7 to 10 Years of experience in Back Office Admin Profile.
- Willingness to support any Ad hoc Events Related to FS Operations.
- Work Experience with multicultural teams required.
- Phenomenal teammate & Capable of Training Juniors.
- Knowledgeable for Legal & Statutory KSA Labor law.
