How to contribute to our vision

This role is being created as an addition to the SE P RM NA team to address an increased workload and ensure business continuity. As an Administrative Assistant, the position will provide crucial transactional and administrative support to the Strategic Procurement department in North America, operating from Mexico. To meet these objectives, this role is structured around three core areas: transactional procurement support, administrative project assistance, and stakeholder communication. The focus will be on executing routine procurement tasks, supporting compliance and sustainability projects, and facilitating communication between the procurement team, internal functions, and external suppliers. Given the focus on these administrative and transactional duties, the ideal candidate will possess experience in data entry, order processing, and general office administration. Familiarity with ERP systems like SAP and strong communication skills are essential to effectively support the team's operational needs in a fast-paced environment.

What You Need To Make a Difference

  • 50% Transactional Procurement Support
    • Create and process Purchase Requisitions (PRs) in SAP on behalf of the SE P RM NA team.
    • Monitor the status of PRs and purchase orders to ensure timely processing and delivery.
    • Maintain accurate records and documentation for all procurement transactions, including orders and supplier communications.
  • 30% Administrative & Project Coordination
    • Provide administrative support for Governance, Sustainability, and Procurement Management & Compliance projects.
    • Assist team members with administrative tasks related to indirect materials, such as fleet management support.
    • Compile data and prepare routine reports as required by the procurement team.
  • 20% Stakeholder Communication
    • Act as a point of contact for routine inquiries from internal departments and third-party suppliers.
    • Coordinate and facilitate communication between the procurement team and cross-functional partners to ensure smooth workflows.
    • Follow up with suppliers on administrative matters and order status as directed by the team.

Certifications

  • C2 English

Education

  • High school diploma or 1-2 year vocational training in administration or a related field.
  • Experience in an administrative, clerical, or para-professional support role.
  • Experience with data entry and order processing in an ERP system (e.g., SAP) is highly preferred.
