A Snapshot of Your Day

We are seeking a proactive and highly organized Administrative Assistant to provide comprehensive support to a dynamic, global team. In this role, you will be in the central point of coordination, responsible for managing administrative tasks and ensuring the smooth and efficient functioning of daily operations. You will handle a wide range of responsibilities, from calendar management to coordinating reporting activities both at a local and global level, acting as a key enabler for the team's success.

How You’ll Make an Impact

  • Facilitate the onboarding and offboarding of team members, ensuring necessary equipment and access are arranged.
  • Maintain and track headcount records and assist with timesheet reporting and compliance.
  • Manage and track organization expenses, process invoices, and prepare expense reports (if requested) to ensure policy adherence.
  • Manage and maintain team calendar for conference room bookings to ensure teams are able to maintain their regularly scheduled rooms throughout the year.
  • Ensure the team is updated with organizational announcements including new hires, changes in personnel, updates to tools and missing timesheets, changes in organization charts, seating, etc.
  • Arrange and manage complex domestic and international travel itineraries including flights, accommodation, and ground transportation if required including support of travel VISAs when needed.
  • Organize and schedule meetings including onsite or offsite workshops/teambuilding events, working with onsite catering or external venues and restaurants as needed.

What You Bring

  • Associate's degree or equivalent vocational training combined with 4+ years of relevant administrative experience.  Bachelor’s degree preferred but not required.
  • Minimum of 2-3 years of experience in an administrative support role, preferably within a corporate or team-based environment.
  • Good interpersonal skills, effective in communication both written and verbal
  • MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Travel, Expense, and Workforce Management (Fieldglass, SAP) experience is a plus
  • Applicants must be legally authorized for employment in the United States without need for current or future employer-sponsored work authorization. Siemens Energy employees with current visa sponsorship may be eligible for internal transfers.
