A Snapshot of Your Day

The Team Assistant is responsible for completing a broad variety of administrative tasks for the Manager including schedule meetings; draft agendas; develop, compile, and distribute presentation materials; composing and preparing correspondence; maintaining contact lists; making travel arrangements, record meeting minutes etc

The overall objective is to serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Manager, including those of a highly confidential or critical nature.

How You’ll Make an Impact

  • Preparing the bags (backpack, notebook, pen, headphones, etc)
  • Handed over the laptops and iPhones to colleagues from IT to installed them
  • Preparation/create minutes of employee report (process verbal) with serial number for fixed assets
  • Record fixed assets, accounting report, SAP registration
  • Apflow -granting access to employees to server (Single Registry, Attendance Form)
  • Add to Distribution List (general information for all staff)
  • IPR orders for all IT equipment (laptops, monitors, mouse, headphones) => stock
  • Contact with the warehouse manager to deliver the goods to the office
  • Contact with the receptionist to deliver monitors for example to those who request because they will work most of the time from home
  • IPR -order protection equipment for commissioning
  • Hotel, accommodation, car transfer, plane tickets for foreign employees
  • Amex Card process
  • The same process stages for colleagues who resign

What You Bring 

  • Bachelor's degree required
  • Proficiency level of English
  • 2-3 years of similar experience
  • Proficient in Microsoft Office
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks with excellent attention to detail
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, management, external partners
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
