A Snapshot of Your Day

The Administrative Assistant will have daily check-ins with Gingco for workspace desk and/or conference room reserved. This position will book travel in Concur system, fill out BTAT for travels and execute expense reports, in addition, consistently order office supplies and other office items via Ariba Guided Buying system. Send documents needing Apostilles to Agency in Jacksonville. Verify invoices on NextGen application, Update distribution list Onboard/Offboard staff as needed – laptops, cell phones, PKI badge, email account, etc. Assist staff with requests via email when needed (direct them to where they need). 

How You’ll Make an Impact

  • Provide administrative assistance to directors such as travel, expense report, presentations etc.
  • Work with other Admins to support the needs of RLA.
  • Issue access to LAN folders for RLA and Super Requestor rights to assist Team as needed.
  • Attend internal Admin Forum meetings via TEAMS to keep up with processes.
  • Keep log of locker keys – needed to update for new hires/interns or termed staff.
  • Reserve conference rooms and order catering if needed.
  • Send out emails to disseminate information of processes as they arise.

What You Bring

  • Bachelor’s Degree preferred; Associates or other HR certifications a plus; 3+ years experience in administrative support.
  • Bilingual is required; Spanish proficiency preferred.
  • Effective communication (English and Spanish) and presentation skills.
  • Excellent knowledge in SAP (or other software/hardware), proficiency in Microsoft Office.
  • Excellent ability to work on your own with minimal supervision, assist other admins as needed.
  • Applicants must be legally authorized for employment in the United States without need for current or future employer-sponsored work authorization. Siemens Energy employees with current visa sponsorship may be eligible for internal transfers.
